Version and effective date
This Data Processing Notice is version 2026-09-11-v2 and is effective as of 11 September 2026. It is an informational summary for contractor customers. It is not automatically a signed, bespoke data-processing agreement.
Roles and purpose
VolteraForge is operated by Torkiva Inc. Where a contractor organization uses VolteraForge to store and manage its business records, that organization generally determines the purposes of those business records and acts as the controller or business for that information under applicable privacy law. Torkiva Inc., through VolteraForge, processes that information as a processor or service provider to provide, secure, support, and maintain the subscribed service.
Torkiva Inc. may also process limited account, billing, security, and operational information as an independent organization for authentication, subscription administration, abuse prevention, reliability, and legal compliance.
Categories of data subjects and data
Data subjects may include contractor users, customer contacts, invited customer-account users, and support or inquiry contacts.
Categories of data may include account and profile details; company and membership information; customer, project, work-order, estimate, invoice, approval, message, and related operational records; uploaded files, drawings, and documents; extracted text and AI interaction records where features are used; support and audit records; and technical or security logs.
Confidentiality and access boundaries
Application access follows company membership, role, assignment, customer-publication, and file-authorization controls. Platform support access, when used, is a separate time-limited read-only workflow with a recorded reason and audit logging.
Personnel and authorized support users with access to customer information are expected to limit access to what is needed for their role or support purpose.
Security measures
VolteraForge applies administrative, technical, and operational safeguards appropriate to the service, including authentication and session controls, authorization checks, protected file delivery, malware scanning for supported uploads, rate limiting, and sanitized diagnostics when diagnostic reporting is enabled. These measures are not a guarantee against all risk.
Service providers and international processing
VolteraForge uses service providers for categories such as subscription payment processing, transactional email, object and file storage, application and database hosting, error monitoring, rate limiting or caching, OCR, and AI assistance. Specific verified public listings, when published, appear in the Trust Center or an applicable agreement.
Depending on the providers used for the service, processing may occur outside Canada. Ask VolteraForge for current provider details relevant to your organization when needed for procurement or privacy assessment. Privacy questions about this processing may be sent to privacy@volteraforge.com.
Incidents, assistance, and end of processing
Confirmed security incidents are handled according to Torkiva Inc. incident procedures for VolteraForge and applicable legal or contractual obligations. This notice does not state fixed notification deadlines.
Taking into account the nature of processing and available functionality, Torkiva Inc. can provide reasonable assistance with access, correction, or deletion requests that relate to information processed for a customer organization, subject to identity verification, law, and technical limits.
At the end of service, customers should use available export features for records they need. Retention, archival, return, and deletion follow operational, contractual, backup, audit, and legal requirements. Immediate or complete deletion of every copy is not promised unless an applicable agreement expressly states otherwise.
Customer responsibilities and formal agreements
Customers are responsible for lawful instructions, notices, permissions, and the accuracy of information they submit or publish through the service.
